General Regulations

  • It is mandatory for all the schools/institutes/centers to obtain respective Dean’s approval before finalizing any tour/trip. Required budget shall also be approved and a copy shall be submitted to Office of Facilities Management.
  • No Objection Certificate/welcome email shall be obtained from host organization, and a copy shall be submitted to Office of Facilities Management.
  • It shall be ensured that
    1. Students have been briefed about associated risks, and Indemnity forms have been signed by all the participating students.
    2. Field Trip Participants Information Summary containing their names, Identification numbers, Cell numbers, Emergency contact persons and their numbers have been acquired, and a copy has been submitted to Office of Facilities Management.
    3. Students with special medical needs have been identified and they posses required medical provisions
  • The transport in use shall be checked for the following:
    1. Driver is having valid Public Service vehicle (PSV) License.
    2. Vehicle papers are complete.
    3. Tyres are in good conditions.
    4. Vehicle fitness certificate is valid.
    5. Contact numbers of Emergency Relief Institutions are in hand. 

Study Tours

  • It is mandatory for all the schools/institutes/centers to obtain respective Dean’s approval before finalizing any study tour. Required budget shall also be approved and a copy shall be submitted to Office of Facilities Management.
  • No Objection Certificate/welcome email shall be obtained from the management of industry/factory/company/office selected for visit, and a copy shall be submitted to Office of Facilities Management.
  • Prior to the trip, the organizer shall brief all participants about the associated risks and get signatures of the participants on Waiver of Indemnity and Liability Bond that they are willing to be part of this activity at their own risk, and copies of these bonds shall be submitted to Office of Facilities Management.
  • Field Trip Participants Information Summary containing their names, Identification numbers, Cell numbers, Emergency contact persons and their numbers have been acquired, and a copy has been submitted to Office of Facilities Management.
  • The number of students should be managed where they can be easily accommodated in available transport facility i.e. Coaster 28 seats and Hino Bus 50 seats.

   Recreational Trips

  • It is mandatory for all the schools/institutes/centers to obtain respective Dean’s approval before finalizing any recreational trip. Required budget shall also be approved and a copy shall be submitted to Office of Facilities Management.
  • It is mandatory for the organizers from all the schools/institutes/centers to liaise with Office of Participants Affairs before finalizing any recreational trip.
  • Prior to the trip, the organizer shall brief all participants about the associated risks and get signatures of the participants on Waiver of Indemnity and Liability Bond that they are willing to be part of this activity at their own risk. In cases where the participants’ age is under 18 years, organizers shall coordinate with parents/guardians for the approval. It should be ensured that copies of these bonds shall be submitted to Office of Facilities Management.
  • Field Trip Participants Information Summary containing their names, Identification numbers, Cell numbers, Emergency contact persons and their numbers have been acquired, and a copy has been submitted to Office of Facilities Management.
  • It shall be ensured that contact numbers of DPO, DCO and DHQ of the relevant district, where point of visit is located, have been obtained.
